Privacy Policy

Beeylo helps you keep your email inbox clear. We pull the important things out of your mail (orders, invoices, appointments, tasks) and turn them into a calm overview, so you never miss anything and never have to search. To do this, we read your email with your permission. This policy explains exactly which data we use, why, how we protect it and what rights you have.

Which data we use

Your email (read-only). With the Google permission gmail.readonly (or the Outlook equivalent) we read the content, metadata and relevant attachments of emails that Beeylo turns into tickets, appointments and actions. We never send, change or delete email on your behalf.
Account data. Your name and email address for your Beeylo account.
Usage data. Basic, never-sold data about how the app performs (e.g. crash reports) to improve the app.

What we use it for

Turning relevant emails into a clear inbox of tickets, appointments and actions.
Summarizing and categorizing the important things with AI (see below).
Sending you a notification when something important comes in.

We use your email content solely to deliver these features to you. We do not keep original content for emails that are not surfaced as tickets, appointments or actions. Not for advertising, not for profiling, and we never sell your data.

Limited Use: Google API Services Beeylo's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: we use Gmail data only to provide Beeylo's user-facing features, do not transfer that data to others except as needed to provide those features or as required by law, do not use that data for advertising, and do not let any human read your emails except with your explicit consent, for security, or where the law requires it.

AI processing

To summarize and organize your email we use Google's Gemini models via Vertex AI. Under our agreement, your data is not used to train AI models. Processing is automated; no human looks at it.

Where and how we store your data

Storage in the EU. Your data is held on servers in the European Union (Frankfurt, Germany).
Encrypted. Original email content that is needed for your tickets, appointments and actions is stored encrypted, including relevant attachments such as invoices, receipts, tickets, QR codes and wallet passes.
Restricted access. Only strictly necessary, secured systems have access; administrative access is protected with strong authentication.

How long we keep it

We keep ticket data, AI summaries and the original email content needed to show those tickets while your account is active. This includes relevant attachments that are shown with a ticket. If you disconnect an inbox, we revoke access immediately and stop syncing new email. We keep the stored content from that inbox encrypted for 30 days so you can recover it by reconnecting, then delete it automatically. You can request immediate deletion at any time. If you delete your account, we erase all of your data within 30 days.

Who we share data with

We never sell your data. We work with a limited number of processors that help us deliver the service, all under data processing agreements:

Google: Gmail API (email access) and Vertex AI (processing).
Microsoft: Outlook API, if you connect an Outlook inbox.
Supabase & Railway: hosting and database, in the EU.
Resend: sending system emails (e.g. sign-in links).
Firebase (Google): push notifications.

Your rights

You have full control over your data. In the app you can:

Export your data: download all your data in a single file (GDPR art. 20).
Delete your account and data: permanently, completed within 30 days (GDPR art. 17).
Disconnect an inbox: at any time, after which we stop reading.

You can also withdraw your consent via your Google account settings. In addition, you have the right to access, correct, and to file a complaint with your data protection authority.

We may update this policy. For significant changes we will let you know in the app or by email. The date at the top shows when this policy was last changed.
